This year, we are introducing a new space in recognition and support for the artistic talents of our community: The Art Show!

IWAG Art Show is a dedicated space to celebrate the creativity of our community. Here, artists, creators, and other imaginative individuals can showcase their anthropomorphic themed works, such as paintings, sculptures, photography, or other original pieces. Some of these works will be available for purchase, through silent auctions, giving attendees the chance to take home a piece of the fandom.

The items, creation of theirs, are then available to you, attendees of IWAG, to view, admire at, and some will be available to take home, via direct buy offer, or an auction. It is a place to not just showcase art or photographs or a nice sculpture, but also to show you what our creative fandom has to offer.

Enjoying the Art Show

Art Show is open to all attendees holding a valid convention badge. You then will be able to browse the gallery, admire the creativity of our community, and view unique anthropomorphic themed works. Items on display are not to be touched or handled directly, but you’re welcome to view, appreciate, and learn about them. Some pieces may be available for you to bid on, and once you have won those items, you are free to handle and bring them home.

Getting Your Desired Piece

Attendees who visit the Art Show can:

  • View and appreciate artwork during viewing hours.
  • Bid on auction pieces during bidding hours at the Art Show. In order to bid, you must write your badge number, contact information, and sign an Agreement to our Art Show staff members.
  • Pay and pick up the pieces you have won during pickup hours.
  • Viewing, bidding and pickup hours will be defined in the convention schedule, found on the website closer to the convention weekend, and our conbook.
  • The first 3 pieces to have their bid sheets filled in the silent auction will be sent to a live auction during the closing ceremony.
  • Attendees who bid will be recorded by their Event Pass number.
  • IWAG will notify you when your bid wins, however it is your responsibility to stay updated.

Showcasing and Selling at the Art Show

Creators who are IWAG attendees can submit their works for exhibition, or have someone else submit artwork on their behalf. Submissions are reviewed by curators to ensure they meet quality, originality, and content guidelines.

These items must have been created by you, part of a collaboration that includes you, or you are representing someone who wants their item shown in the Art Show at their behalf/as a proxy. You cannot commission artworks to feature in the Art Show. The items submitted can be but not limited to paintings, printed photograph, printed digital art, sculpture, etc.

Creators can apply a display-only slot, or elect to take part in the Auction. You’ll be able to define this at the Art Show registration form. All approved pieces will be displayed, and we’ll mark which ones are available to bid, or which ones are display-only.

Creators who submit their artwork to the Art Show and elect to participate as an auction item shall be charged a service fee once their item is sold. This goes to the IWAG team to help print digital art, arrange items, and handle your creation during the event.

Items that go unsold, or are registered as display pieces, would not be subject to any fees, and will be returned to the submitter at the end of the convention.

Item Specifications

Traditional artwork must not exceed 50cm on its longest side. Sculptures, plushies, fursuit heads, and other physical exhibits should not be bigger than 50cm x 50cm x 50cm in dimension. Digital artwork will be printed by the IWAG team up to a size of 50cm on its longest side, and framed accordingly. We reserve the right to refuse exhibiting artpieces bigger than these specifications.

Art Show Auction

Phase 1: Silent Auction

Interested attendees can make their way to the Art Show during bidding hours. Your Pass Number shall be verified and preferred contact number taken by the team before you can head on in. You’ll find bid sheets next to each artwork up for auction.

If you want to get a piece that is marked for auction, place your event pass number and your bid amount on the sheet.

The default minimum bid increment is IDR 20,000 and its multiples. Bid increments will be shown on each entry. Please increment accordingly.

The first 3 pieces to get all bid sheet slots filled will go to live auction during the closing ceremony!

Other pieces will remain in the silent auction. If nobody else placed a higher bid, you will be contacted to honor your bid and retrieve your artwork during the Pickup hours at the end of Day 2.

If you have won, please honor your bids out of respect for the creators of the artpiece! We reserve the right to monitor bids that are not honored and can take stringent action for those who fail to pay or intentionally dishonor their bids, including unappealable bans.

Phase 2: Live Auction

The live auction is exciting! Attendees in the main stage then can bid on the works directly (Hence, live). The bids work by shouting your offer, once the auctioneer shouts back your bid, your bids are final, and once placed it will be regarded as valid, so be mindful. See if you can honor your bid and purchase said item.

The winning bid will then be asked to make the payment right after bidding.

Increments are at least IDR 50,000 and its multiples for the live auction. Please honor your bids, it would not be nice to everyone observing the live auction if you do not do so. IWAG reserve the right to monitor bids that are not honored.

Phase 3: Art Pickup and Payment

Once it is sold, you will receive instruction from our team on how to collect your purchased items. Items will be handed to you as is, and any dispute will be you and the creators.

Please note that pick-up and payment will be in the afternoon hours of Day 2. Please plan accordingly.

Unsold item or display only item will be picked up back by the creators that submit their works, or their proxy.

Phase 4: Creator Payout

IWAG handles all payments for successful auction bids.

IWAG levies a 13% service and handling fee for items that are successfully bid and paid out during the Art Show. This goes to the IWAG team to help print digital art, arrange items, and handle your creation during the event.

Items that go unsold, or are registered as a display pieces, would not be subject to any fees, and will be returned to the submitter at the end of the convention.

IWAG will process the payout within a maximum of 5 working days. Exchange rates and remittance fees apply for non-Indonesian artists. You can read more about our fees on our Terms and Conditions.

Art Show Terms and Conditions

Definitions

For the purposes of these Terms and Conditions:

  • Submitting Party / Seller: an IWAG attendee who submits artwork to the Art Show, or their authorized proxy.
  • Proxy: an individual authorized in writing by the Seller to act on their behalf in relation to the Art Show.
  • Attendee / Bidder: any IWAG attendee holding a valid convention badge.
  • Buyer: an attendee whose bid has been confirmed as the winning bid on an item.
  • Curator: an IWAG team member responsible for reviewing and approving submitted works.
  • IWAG: the organizing team of the Indonesian Weekend Anthro Gathering

General Terms

The IWAG Art Show is a dedicated exhibition space offered to attending creators (or their authorized proxies) to showcase their artwork. All displayed artwork is subject to curation by IWAG.

The Art Show serves as an exhibition space, a showcase, and a venue for the sale of items through auctioning.

IWAG will publish a schedule detailing submission windows, drop-off periods, viewing hours, bidding hours, pickup times, and payout timelines.

IWAG does not guarantee that all submitted works will be approved for exhibition. Submissions are reviewed by curators to ensure they meet quality, originality, and content guidelines.

IWAG offers no guarantee that items marked for sale will be sold, though IWAG may provide some promotional support for displayed pieces.

All sale prices in the Art Show are tax-inclusive. The 13% service and handling fee charged by IWAG is applied to the final sale price. Sellers are solely responsible for any personal tax obligations arising from their sales.

For concerns relating to the Art Show process (such as bid recording, staff conduct, or procedural matters) attendees and submitting parties may direct their enquiries to [email protected]. IWAG will review process-related concerns at its discretion. This does not constitute a formal appeals process, and IWAG’s decisions on process matters are final. IWAG assumes no involvement in disputes between buyers and sellers arising after the conclusion of a sale.

Cancelation or Disruption

In the event that IWAG or the Art Show is cancelled or significantly disrupted, IWAG will make reasonable efforts to return all submitted items to their respective submitting parties. IWAG will cover delivery costs for the return of items, but assumes no further financial liability beyond this.

As an alternative, submitting parties may request that their item be held by IWAG for inclusion in the next Art Show. This request must be communicated to IWAG within a timeframe announced through relevant communication channels.

IWAG is not liable for any loss, damage, or financial consequence arising from cancellation or disruption of the event.

Item Submission

Content Guidelines

  • All items displayed at the Art Show must be rated PG-13 or below.
  • Any artwork, print, or object submitted for sale or display must have been created by the submitting party, as part of a collaboration that includes them, or submitted with the explicit permission of the original creator. You may not commission artwork and submit it to the Art Show.
  • Submitting parties must have permission from the original artist to sell or display their work. If submitting on behalf of another creator, the submitting party must be able to provide proof of authorization upon request. This can be in the form of an email that provides verifiable and traceable proof of identity and ownership.
  • Derivative works based on existing intellectual properties must not bear clear identification or direct correlation to the original IP holders.
  • Items must not be generated using AI tools.
  • Please review our policies on Terms of Creative Work, our Code of Conduct, and Anti-Harassment Policy. There are limitations on what can be displayed or sold, and these must be followed.

Eligible Items

Submitted items must follow the Content Guidelines above. Items may be submitted as paintings, printed photographs, printed digital art, sculptures, and similar original works, but are not limited to these formats.

Items may be rejected at the curators’ discretion if they:

  • Violate the Content Guidelines or IWAG’s Code of Conduct
  • Are generated using AI tools
  • Infringe on established intellectual properties
  • Fail to meet a minimum standard of quality or artistic merit
  • Cannot physically exist at the Art Show (e.g., a photograph submitted in an attempt to sell the physical object it depicts)
  • Have no clear established ownership by the submitting party
  • Cannot be displayed within the physical constraints of the Art Show space

Only approved items will be accepted at drop-off.

Submitting Party

The submitting party must be an IWAG attendee holding a valid event pass, which must have been redeemed into a convention badge prior to drop-off.

Items may only be submitted by the owner of the artwork or an authorized proxy. Submitting parties must send an authorization email from the submitting party’s registered email address, that provides verifiable and traceable proof of identity and ownership. Emails may be sent to [email protected].

IWAG will not mediate disputes between a submitting party and their proxy. Both parties are treated as one and the same for the purposes of IWAG’s obligations.

Drop Off and Registration

Approved items delivered to IWAG must be registered by signing the submission sheet. Signing the sheet constitutes final consent by the submitting party for IWAG to act as exhibitor and/or broker of sales during the convention weekend.

Submitting parties may not withdraw their item once it has been delivered to IWAG for display.

Item Specifications

  • Traditional artwork must not exceed 50cm on its longest side.
  • Sculptures, plushies, fursuit heads, and other three-dimensional works must not exceed 50cm x 50cm x 50cm.
  • Digital artwork will be printed by the IWAG team at up to 50cm on its longest side, and framed accordingly.

IWAG reserves the right to refuse items exceeding these specifications.

Digital Art and Print Quality

Submitting parties are encouraged to arrange their own printing for digital artworks where possible, in order to ensure their work is presented as intended.

Where IWAG handles printing on the submitting party’s behalf, the submitting party will be given the opportunity to inspect the printed piece prior to the Art Show opening. If the submitting party is not satisfied with the print quality, they may elect to withdraw the piece from display. IWAG will not arrange a reprint, and the piece will be returned to the submitting party.

IWAG assumes no liability for colour accuracy or print quality variations arising from the printing process.

Display and Logistics

Art Show staff are responsible for hanging and arranging all art pieces.

IWAG team members reserve the right to move, redisplay, or take down items at any time.

Items placed on display may not be removed until the Art Show has concluded.

For unframed artwork, submitting parties are recommended to use transparent sleeves to protect pieces and make them easier for buyers to carry.

Table space is available for art that cannot be hung. Hooks and clamps will be provided for hanging artwork. If you require soft clamps or alternative hanging methods, please bring your own. Clipframes are not recommended for peg walls and should be displayed on tables only.

If you wish to provide packaging materials for buyers, storage space will be available. Please register any packaging materials with Art Show staff at the time of drop-off.

IWAG reserves the right to document and photograph all items displayed in the Art Show, and to restrict or permit other parties to do so. The submitting party does not hold this right during the Art Show.

Items are displayed at the submitting party’s risk. IWAG will take reasonable care to safeguard all displayed works but is not liable for any damage or loss.

Seller Obligations and Financials

Auction Participation

Submitting parties may elect to have their item listed for auction or registered as display-only. This preference must be indicated on the Art Show registration form. All approved pieces will be displayed and auction-eligible pieces will be clearly marked.

The submitting party may set any minimum bid amount. IWAG is not responsible for any outcome resulting from this decision.

The submitting party may not place bids on their own item, conspire with others to place bids on their item, or encourage others to engage in unfair practices against other submitters. Any submitting party found to be involved in or aware of such conduct will have their item removed from auction immediately. IWAG reserves the right to impose further penalties in accordance with its Code of Conduct.

Service Fee

IWAG levies a 13% service and handling fee on items that are successfully sold through the Art Show. This fee covers printing costs for digital artworks, item arrangement, and handling throughout the event.

Items that go unsold, or are registered as display-only, are not subject to any fee.

Payout

IWAG will process payouts within a maximum of 5 working days following the event. Exchange rates and remittance fees apply for non-Indonesian artists. Full details are available in IWAG’s Terms and Conditions.

IWAG will hold unclaimed payouts for a period of 40 days following the conclusion of the event. Submitting parties are responsible for ensuring their payout details are valid and accessible within this window. After 40 days, IWAG cannot guarantee the continued availability of unclaimed funds. Any claim made after this period is subject to IWAG’s sole discretion.

In the event a submitting party does not provide a valid payout method, the payout will be held in accordance with the above policy.

Payouts may be issued to a proxy should the need arise. The proxy must hold a valid IWAG event pass and present appropriate authorization as described under Proxy Authorization above.

Unsold and Display-Only Items

Items that go unsold, or are registered as display-only, must be collected by the submitting party at the conclusion of the Art Show at no cost. IWAG will communicate collection instructions through relevant channels. IWAG assumes no responsibility that the submitting party is aware of said communications.

The submitting party may arrange alternative collection methods with IWAG, at the submitting party’s expense.

If an item is declared forfeit, IWAG may add the item to its inventory for use at its discretion, including but not limited to repurposing, donating, or resale.

General Attendees and Viewing

Any IWAG attendee holding a valid convention badge may enter the Art Show gallery during public viewing hours and participate in the live auction event.

Attendees must remain within any marked floor boundaries and may not touch or handle any items on display. Attendees who cause damage to displayed works may be held responsible for compensation at the artist’s request.

Attendees may take photographs and videos of displayed artwork.

Staff may require attendees and fursuiters to queue before entering the room, subject to available capacity.

Staff are authorized to escort attendees from the premises for disorderly conduct.

Auction Terms

Participation Requirements

Attendees who wish to participate in the auction must provide their badge number and preferred contact information (Discord, Telegram, phone number, or email) to Art Show staff, and sign a copy of these Terms and Conditions and the Art Show Agreement before placing any bids.

Bidding Rules

Attendees may place bids on auctioned items during designated bidding hours.

The minimum bid increment is IDR 20,000 (twenty thousand rupiah) and multiples thereof for the silent auction, and IDR 50,000 (fifty thousand rupiah) and multiples thereof for the live auction. Bids not placed in valid multiples of these amounts will be voided.

Attendees may not handle bid slips directly. Please contact on-site staff to place bids.

No bids may be placed on behalf of another person.

Attendees may not collude with others to unfairly influence bids on any item.

Placing a bid constitutes a commitment to purchase the item if the bid is successful. A confirmed winning bidder is referred to as a Buyer.

Any bidder found to be conspiring to manipulate the auction process will be immediately disqualified from further bidding and be escorted away for the remainder of the Art Show.

Silent Auction

Bid sheets will be placed beside each auction item. To place a bid, you need to use a bid slip, you can request a slip sticker set from the staff. Write your bid amount and badge number on the slip, and place it on the sheet of the desired item.

The 3 items with the highest number of bids, or the first 3 items to have all bid slip slots filled during the silent auction will be sent to the live auction during the closing ceremony. Artists of the selected pieces may request to opt out of the live auction. IWAG may pick more or less live auction items on the team’s discretion.

IWAG staff reserve the right to retract any bids on any piece.

Buyers may request corrections to their bids. IWAG staff reserve the right to reject such requests.

Live Auction

Auction terms will be announced before the start of the live auction. All attendees are expected to pay attention to the information provided, and to conduct themselves respectfully toward the host and other attendees.

Attendees in the main stage area may bid directly by calling out their offer. Once the auctioneer confirms a bid, it is considered final. All bids placed during the live auction are assumed to be correct. No corrections may be issued.

The winning buyer is expected to make payment immediately upon the close of the auction.

Final Bids and Grace Period

The silent auction bidding window closes 60 minutes before the Art Show closes on Day 1. No bids may be placed after this cutoff. It is the bidder’s responsibility to monitor and manage their bids before the window closes. IWAG assumes no responsibility for bids that are outbid prior to closure. IWAG may change any timing outlined closer to the event date, with announcement on a relevant, publicly accessible communication channel.

Items that received no bids during the silent auction will not enter the final bidding window, and will be returned to the submitting party at the closure of the Art Show.

If an item with bids remains unpaid after the highest bidder and the next highest bidder have both been given the opportunity to honor their bid, the item will be considered unsold and returned to the submitting party. As compensation, the submitting party will be granted a guaranteed submission slot at the following year’s IWAG Art Show.

Winning, Payment and Penalties

When the auction concludes, IWAG will notify winning attendees through relevant communication channels. It is the buyer’s responsibility to stay updated. IWAG assumes no responsibility that the attendee is aware of said notifications.

IWAG will contact the winning attendees and include information of how payment can be made, and the payment deadline the winning attendee must honor. The payment deadline will be within the second day of the convention itself.

If the winning attendee cannot be reached, the next highest bid will be contacted. Timing for honoring bids will be announced through relevant channels.

Buyers who do not honor their purchase, intentionally ignore notifications, or fail to complete payment may be subject to the following penalties at IWAG’s discretion:

  • An unappealable ban from future IWAG events, or events managed by the IWAG Organization, until payment is fulfilled.
  • The item will not be held or reimbursed for buyers who have failed to honor payment.

If the winning bid fails to honor their purchase, the sale will be annulled and the next highest bid will be given the opportunity to act upon their bid.

Item Pick-Up

Pickup and payment will take place during the afternoon hours of Day 2. Please plan accordingly.

Once an item is sold, IWAG will provide instructions to the buyer on how to collect their purchased item. Items are handed to the buyer as-is. IWAG will seek no further involvement in negotiations or disputes pertaining to the item following the conclusion of the sale.

Unsold items and display-only items will be collected by the submitting party or their proxy following the close of the Art Show.
