&lt;p&gt;This year, we are introducing a new space in recognition and support for the artistic talents of our community: The Art Show!&lt;/p&gt;
&lt;p&gt;IWAG Art Show is a dedicated space to celebrate the creativity of our community. Here, artists, creators, and other imaginative individuals can showcase their anthropomorphic themed works, such as paintings, sculptures, photography, or other original pieces. Some of these works will be available for purchase, through silent auctions, giving attendees the chance to take home a piece of the fandom.&lt;/p&gt;
&lt;p&gt;The items, creation of theirs, are then available to you, attendees of IWAG, to view, admire at, and some will be available to take home, via direct buy offer, or an auction. It is a place to not just showcase art or photographs or a nice sculpture, but also to show you what our creative fandom has to offer.&lt;/p&gt;
&lt;h2 id=&quot;enjoying-the-art-show&quot;&gt;Enjoying the Art Show&lt;/h2&gt;
&lt;p&gt;Art Show is open to all attendees holding a valid convention badge. You then will be able to browse the gallery, admire the creativity of our community, and view unique anthropomorphic themed works. Items on display are not to be touched or handled directly, but you’re welcome to view, appreciate, and learn about them. Some pieces may be available for you to bid on, and once you have won those items, you are free to handle and bring them home.&lt;/p&gt;
&lt;h3 id=&quot;getting-your-desired-piece&quot;&gt;Getting Your Desired Piece&lt;/h3&gt;
&lt;p&gt;Attendees who visit the Art Show can:&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;View and appreciate artwork during viewing hours.&lt;/li&gt;
&lt;li&gt;Bid on auction pieces during bidding hours at the Art Show. In order to bid, you must write your badge number, contact information, and sign an Agreement to our Art Show staff members.&lt;/li&gt;
&lt;li&gt;Pay and pick up the pieces you have won during pickup hours.&lt;/li&gt;
&lt;li&gt;Viewing, bidding and pickup hours will be defined in the convention schedule, found on the website closer to the convention weekend, and our conbook.&lt;/li&gt;
&lt;li&gt;The first 3 pieces to have their bid sheets filled in the silent auction will be sent to a live auction during the closing ceremony.&lt;/li&gt;
&lt;li&gt;Attendees who bid will be recorded by their Event Pass number.&lt;/li&gt;
&lt;li&gt;IWAG will notify you when your bid wins, however it is your responsibility to stay updated.&lt;/li&gt;
&lt;/ul&gt;
&lt;h2 id=&quot;showcasing-and-selling-at-the-art-show&quot;&gt;Showcasing and Selling at the Art Show&lt;/h2&gt;
&lt;p&gt;Creators who are IWAG attendees can submit their works for exhibition, or have someone else submit artwork on their behalf. Submissions are reviewed by curators to ensure they meet quality, originality, and content guidelines.&lt;/p&gt;
&lt;p&gt;These items must have been &lt;strong&gt;created by you&lt;/strong&gt;, part of a collaboration that includes you, or you are representing someone who wants their item shown in the Art Show at their behalf/as a proxy. You cannot commission &lt;strong&gt;artworks to feature in the Art Show&lt;/strong&gt;. The items submitted can be but not limited to paintings, printed photograph, printed digital art, sculpture, etc.&lt;/p&gt;
&lt;p&gt;Creators can apply a display-only slot, or elect to take part in the Auction. You’ll be able to define this at the Art Show registration form. All approved pieces will be displayed, and we’ll mark which ones are available to bid, or which ones are display-only.&lt;/p&gt;
&lt;p&gt;Creators who submit their artwork to the Art Show and elect to participate as an auction item shall be charged a service fee once their item is sold. This goes to the IWAG team to help print digital art, arrange items, and handle your creation during the event.&lt;/p&gt;
&lt;p&gt;Items that go unsold, or are registered as display pieces, would not be subject to any fees, and will be returned to the submitter at the end of the convention.&lt;/p&gt;
&lt;h3 id=&quot;item-specifications&quot;&gt;Item Specifications&lt;/h3&gt;
&lt;p&gt;Traditional artwork must not exceed 50cm on its longest side. Sculptures, plushies, fursuit heads, and other physical exhibits should not be bigger than 50cm x 50cm x 50cm in dimension. Digital artwork will be printed by the IWAG team up to a size of 50cm on its longest side, and framed accordingly. We reserve the right to refuse exhibiting artpieces bigger than these specifications.&lt;/p&gt;
&lt;h2 id=&quot;art-show-auction&quot;&gt;Art Show Auction&lt;/h2&gt;
&lt;h3 id=&quot;phase-1-silent-auction&quot;&gt;Phase 1: Silent Auction&lt;/h3&gt;
&lt;p&gt;Interested attendees can make their way to the Art Show during bidding hours. Your Pass Number shall be verified and preferred contact number taken by the team before you can head on in. You’ll find bid sheets next to each artwork up for auction.&lt;/p&gt;
&lt;p&gt;If you want to get a piece that is marked for auction, place your event pass number and your bid amount on the sheet.&lt;/p&gt;
&lt;p&gt;The default minimum bid increment is IDR 20,000 and its multiples. Bid increments will be shown on each entry. Please increment accordingly.&lt;/p&gt;
&lt;p&gt;The first 3 pieces to get all bid sheet slots filled will go to live auction during the closing ceremony!&lt;/p&gt;
&lt;p&gt;Other pieces will remain in the silent auction. If nobody else placed a higher bid, you will be contacted to honor your bid and retrieve your artwork during the Pickup hours at the end of Day 2.&lt;/p&gt;
&lt;p&gt;If you have won, please honor your bids out of respect for the creators of the artpiece! We reserve the right to monitor bids that are not honored and can take stringent action for those who fail to pay or intentionally dishonor their bids, including unappealable bans.&lt;/p&gt;
&lt;h3 id=&quot;phase-2-live-auction&quot;&gt;Phase 2: Live Auction&lt;/h3&gt;
&lt;p&gt;The live auction is exciting! Attendees in the main stage then can bid on the works directly (Hence, live). The bids work by shouting your offer, once the auctioneer shouts back your bid, your bids are final, and once placed it will be regarded as valid, so be mindful. See if you can honor your bid and purchase said item.&lt;/p&gt;
&lt;p&gt;The winning bid will then be asked to make the payment right after bidding.&lt;/p&gt;
&lt;p&gt;Increments are at least IDR 50,000 and its multiples for the live auction. Please honor your bids, it would not be nice to everyone observing the live auction if you do not do so. IWAG reserve the right to monitor bids that are not honored.&lt;/p&gt;

&lt;p&gt;Unsold item or display only item will be picked up back by the creators that submit their works, or their proxy.&lt;/p&gt;
&lt;h3 id=&quot;phase-4-creator-payout&quot;&gt;Phase 4: Creator Payout&lt;/h3&gt;
&lt;p&gt;IWAG handles all payments for successful auction bids.&lt;/p&gt;
&lt;p&gt;IWAG levies a 13% service and handling fee for items that are successfully bid and paid out during the Art Show. This goes to the IWAG team to help print digital art, arrange items, and handle your creation during the event.&lt;/p&gt;

&lt;li&gt;&lt;strong&gt;Submitting&lt;/strong&gt; Party / Seller: an IWAG attendee who submits artwork to the Art Show, or their authorized proxy.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Proxy&lt;/strong&gt;: an individual authorized in writing by the Seller to act on their behalf in relation to the Art Show.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Attendee&lt;/strong&gt; / Bidder: any IWAG attendee holding a valid convention badge.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Buyer&lt;/strong&gt;: an attendee whose bid has been confirmed as the winning bid on an item.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Curator&lt;/strong&gt;: an IWAG team member responsible for reviewing and approving submitted works.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;IWAG&lt;/strong&gt;: the organizing team of the Indonesian Weekend Anthro Gathering&lt;/li&gt;
&lt;/ul&gt;
&lt;h2 id=&quot;general-terms&quot;&gt;General Terms&lt;/h2&gt;
&lt;p&gt;The IWAG Art Show is a dedicated exhibition space offered to attending creators (or their authorized proxies) to showcase their artwork. All displayed artwork is subject to curation by IWAG.&lt;/p&gt;
&lt;p&gt;The Art Show serves as an exhibition space, a showcase, and a venue for the sale of items through auctioning.&lt;/p&gt;
&lt;p&gt;IWAG will publish a schedule detailing submission windows, drop-off periods, viewing hours, bidding hours, pickup times, and payout timelines.&lt;/p&gt;
&lt;p&gt;IWAG does not guarantee that all submitted works will be approved for exhibition. Submissions are reviewed by curators to ensure they meet quality, originality, and content guidelines.&lt;/p&gt;
&lt;p&gt;IWAG offers no guarantee that items marked for sale will be sold, though IWAG may provide some promotional support for displayed pieces.&lt;/p&gt;
&lt;p&gt;All sale prices in the Art Show are tax-inclusive. The 13% service and handling fee charged by IWAG is applied to the final sale price. Sellers are solely responsible for any personal tax obligations arising from their sales.&lt;/p&gt;
&lt;p&gt;For concerns relating to the Art Show process (such as bid recording, staff conduct, or procedural matters) attendees and submitting parties may direct their enquiries to &lt;a href=&quot;mailto:operations@furries.id&quot;&gt;operations@furries.id&lt;/a&gt;. IWAG will review process-related concerns at its discretion. This does not constitute a formal appeals process, and IWAG’s decisions on process matters are final. IWAG assumes no involvement in disputes between buyers and sellers arising after the conclusion of a sale.&lt;/p&gt;
&lt;h2 id=&quot;cancelation-or-disruption&quot;&gt;Cancelation or Disruption&lt;/h2&gt;
&lt;p&gt;In the event that IWAG or the Art Show is cancelled or significantly disrupted, IWAG will make reasonable efforts to return all submitted items to their respective submitting parties. IWAG will cover delivery costs for the return of items, but assumes no further financial liability beyond this.&lt;/p&gt;
&lt;p&gt;As an alternative, submitting parties may request that their item be held by IWAG for inclusion in the next Art Show. This request must be communicated to IWAG within a timeframe announced through relevant communication channels.&lt;/p&gt;
&lt;p&gt;IWAG is not liable for any loss, damage, or financial consequence arising from cancellation or disruption of the event.&lt;/p&gt;
&lt;h2 id=&quot;item-submission&quot;&gt;Item Submission&lt;/h2&gt;

&lt;li&gt;All items displayed at the Art Show must be rated PG-13 or below.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Art of the IWAG Mascots (Kiki and Tama) and all assets that refer to the IWAG brand are not allowed for Art Show entries that are submitted for auction&lt;/strong&gt;. These assets are not to be used commercially, as explained by our Brand Guideline. You may only submit pieces with these assets for exhibition/display only.&lt;/li&gt;
&lt;li&gt;Any artwork, print, or object submitted for sale or display must have been created by the submitting party, as part of a collaboration that includes them, or submitted with the explicit permission of the original creator. You may not commission artwork and submit it to the Art Show.&lt;/li&gt;
&lt;li&gt;Submitting parties must have permission from the original artist to sell or display their work. If submitting on behalf of another creator, the submitting party must be able to provide proof of authorization upon request. This can be in the form of an email that provides verifiable and traceable proof of identity and ownership.&lt;/li&gt;
&lt;li&gt;Derivative works based on existing intellectual properties must not bear clear identification or direct correlation to the original IP holders.&lt;/li&gt;
&lt;li&gt;Items must not be generated using AI tools.&lt;/li&gt;

&lt;li&gt;Infringe on established intellectual properties&lt;/li&gt;
&lt;li&gt;Fail to meet a minimum standard of quality or artistic merit&lt;/li&gt;
&lt;li&gt;Cannot physically exist at the Art Show (e.g., a photograph submitted in an attempt to sell the physical object it depicts)&lt;/li&gt;
&lt;li&gt;Have no clear established ownership by the submitting party&lt;/li&gt;
&lt;li&gt;Cannot be displayed within the physical constraints of the Art Show space&lt;/li&gt;
&lt;/ul&gt;
&lt;p&gt;Only approved items will be accepted at drop-off.&lt;/p&gt;

&lt;p&gt;The submitting party must be an IWAG attendee holding a valid event pass, which must have been redeemed into a convention badge prior to drop-off.&lt;/p&gt;
&lt;p&gt;Items may only be submitted by the owner of the artwork or an authorized proxy. Submitting parties must send an authorization email from the submitting party’s registered email address, that provides verifiable and traceable proof of identity and ownership. &lt;p&gt;Submitting parties may not withdraw their item once it has been delivered to IWAG for display.&lt;/p&gt;

&lt;p&gt;Where IWAG handles printing on the submitting party’s behalf, the submitting party will be given the opportunity to inspect the printed piece prior to the Art Show opening. If the submitting party is not satisfied with the print quality, they may elect to withdraw the piece from display. IWAG will not arrange a reprint, and the piece will be returned to the submitting party.&lt;/p&gt;
&lt;p&gt;IWAG assumes no liability for colour accuracy or print quality variations arising from the printing process.&lt;/p&gt;
&lt;h3 id=&quot;display-and-logistics&quot;&gt;Display and Logistics&lt;/h3&gt;
&lt;p&gt;Art Show staff are responsible for hanging and arranging all art pieces.&lt;/p&gt;
&lt;p&gt;IWAG team members reserve the right to move, redisplay, or take down items at any time.&lt;/p&gt;
&lt;p&gt;Items placed on display may not be removed until the Art Show has concluded.&lt;/p&gt;
&lt;p&gt;For unframed artwork, submitting parties are recommended to use transparent sleeves to protect pieces and make them easier for buyers to carry.&lt;/p&gt;
&lt;p&gt;Table space is available for art that cannot be hung. Hooks and clamps will be provided for hanging artwork. If you require soft clamps or alternative hanging methods, please bring your own. Clipframes are not recommended for peg walls and should be displayed on tables only.&lt;/p&gt;
&lt;p&gt;If you wish to provide packaging materials for buyers, storage space will be available. Please register any packaging materials with Art Show staff at the time of drop-off.&lt;/p&gt;
&lt;p&gt;IWAG reserves the right to document and photograph all items displayed in the Art Show, and to restrict or permit other parties to do so. The submitting party does not hold this right during the Art Show.&lt;/p&gt;
&lt;p&gt;Items are displayed at the submitting party’s risk. IWAG will take reasonable care to safeguard all displayed works but is not liable for any damage or loss.&lt;/p&gt;
&lt;h2 id=&quot;seller-obligations-and-financials&quot;&gt;Seller Obligations and Financials&lt;/h2&gt;
&lt;h3 id=&quot;auction-participation&quot;&gt;Auction Participation&lt;/h3&gt;
&lt;p&gt;Submitting parties may elect to have their item listed for auction or registered as display-only. This preference must be indicated on the Art Show registration form. All approved pieces will be displayed and auction-eligible pieces will be clearly marked.&lt;/p&gt;
&lt;p&gt;The submitting party may set any minimum bid amount. IWAG is not responsible for any outcome resulting from this decision.&lt;/p&gt;
&lt;p&gt;The submitting party may not place bids on their own item, conspire with others to place bids on their item, or encourage others to engage in unfair practices against other submitters. Any submitting party found to be involved in or aware of such conduct will have their item removed from auction immediately. IWAG reserves the right to impose further penalties in accordance with its Code of Conduct.&lt;/p&gt;
&lt;h3 id=&quot;service-fee&quot;&gt;Service Fee&lt;/h3&gt;
&lt;p&gt;IWAG levies a 13% service and handling fee on items that are successfully sold through the Art Show. This fee covers printing costs for digital artworks, item arrangement, and handling throughout the event.&lt;/p&gt;
&lt;p&gt;Items that go unsold, or are registered as display-only, are not subject to any fee.&lt;/p&gt;
&lt;h3 id=&quot;payout&quot;&gt;Payout&lt;/h3&gt;
&lt;p&gt;IWAG will process payouts within a maximum of 5 working days following the event. Exchange rates and remittance fees apply for non-Indonesian artists. Full details are available in IWAG’s Terms and Conditions.&lt;/p&gt;
&lt;p&gt;IWAG will hold unclaimed payouts for a period of 40 days following the conclusion of the event. Submitting parties are responsible for ensuring their payout details are valid and accessible within this window. After 40 days, IWAG cannot guarantee the continued availability of unclaimed funds. Any claim made after this period is subject to IWAG’s sole discretion.&lt;/p&gt;
&lt;p&gt;In the event a submitting party does not provide a valid payout method, the payout will be held in accordance with the above policy.&lt;/p&gt;
&lt;p&gt;Payouts may be issued to a proxy should the need arise. The proxy must hold a valid IWAG event pass and present appropriate authorization as described under Proxy Authorization above.&lt;/p&gt;
&lt;h3 id=&quot;unsold-and-display-only-items&quot;&gt;Unsold and Display-Only Items&lt;/h3&gt;
&lt;p&gt;Items that go unsold, or are registered as display-only, must be collected by the submitting party at the conclusion of the Art Show at no cost. IWAG will communicate collection instructions through relevant channels. IWAG assumes no responsibility that the submitting party is aware of said communications.&lt;/p&gt;
&lt;p&gt;The submitting party may arrange alternative collection methods with IWAG, at the submitting party’s expense.&lt;/p&gt;
&lt;p&gt;If an item is declared forfeit, IWAG may add the item to its inventory for use at its discretion, including but not limited to repurposing, donating, or resale.&lt;/p&gt;
&lt;h2 id=&quot;general-attendees-and-viewing&quot;&gt;General Attendees and Viewing&lt;/h2&gt;
&lt;p&gt;Any IWAG attendee holding a valid convention badge may enter the Art Show gallery during public viewing hours and participate in the live auction event.&lt;/p&gt;
&lt;p&gt;Attendees must remain within any marked floor boundaries and may not touch or handle any items on display. Attendees who cause damage to displayed works may be held responsible for compensation at the artist’s request.&lt;/p&gt;
&lt;p&gt;Attendees may take photographs and videos of displayed artwork.&lt;/p&gt;
&lt;p&gt;Staff may require attendees and fursuiters to queue before entering the room, subject to available capacity.&lt;/p&gt;
&lt;p&gt;Staff are authorized to escort attendees from the premises for disorderly conduct.&lt;/p&gt;

&lt;p&gt;Attendees may place bids on auctioned items during designated bidding hours.&lt;/p&gt;
&lt;p&gt;The minimum bid increment is &lt;strong&gt;IDR 20,000&lt;/strong&gt; (twenty thousand rupiah) and multiples thereof for the silent auction, and &lt;strong&gt;IDR 50,000&lt;/strong&gt; (fifty thousand rupiah) and multiples thereof for the live auction. &lt;p&gt;Placing a bid constitutes a commitment to purchase the item if the bid is successful. A confirmed winning bidder is referred to as a Buyer.&lt;/p&gt;
&lt;p&gt;Any bidder found to be conspiring to manipulate the auction process will be immediately disqualified from further bidding and be escorted away for the remainder of the Art Show.&lt;/p&gt;

&lt;p&gt;The 3 items with the highest number of bids, or the first 3 items to have all bid slip slots filled during the silent auction will be sent to the live auction during the closing ceremony. Artists of the selected pieces may request to opt out of the live auction. IWAG may pick more or less live auction items on the team’s discretion.&lt;/p&gt;
&lt;p&gt;IWAG staff reserve the right to retract any bids on any piece.&lt;/p&gt;
&lt;p&gt;Buyers may request corrections to their bids. IWAG staff reserve the right to reject such requests.&lt;/p&gt;
&lt;h3 id=&quot;live-auction&quot;&gt;Live Auction&lt;/h3&gt;
&lt;p&gt;Auction terms will be announced before the start of the live auction. All attendees are expected to pay attention to the information provided, and to conduct themselves respectfully toward the host and other attendees.&lt;/p&gt;
&lt;p&gt;Attendees in the main stage area may bid directly by calling out their offer. Once the auctioneer confirms a bid, it is considered final. All bids placed during the live auction are assumed to be correct. No corrections may be issued.&lt;/p&gt;
&lt;p&gt;The winning buyer is expected to make payment immediately upon the close of the auction.&lt;/p&gt;
&lt;h3 id=&quot;final-bids-and-grace-period&quot;&gt;Final Bids and Grace Period&lt;/h3&gt;
&lt;p&gt;The silent auction bidding window closes 60 minutes before the Art Show closes on Day 1. No bids may be placed after this cutoff. It is the bidder’s responsibility to monitor and manage their bids before the window closes. IWAG assumes no responsibility for bids that are outbid prior to closure. IWAG may change any timing outlined closer to the event date, with announcement on a relevant, publicly accessible  communication channel.&lt;/p&gt;
&lt;p&gt;Items that received no bids during the silent auction will be returned to the submitting party at the closure of the Art Show.&lt;/p&gt;
&lt;p&gt;If an item with bids remains unpaid after the highest bidder and the next highest bidder have both been given the opportunity to honor their bid, the item will be considered unsold and returned to the submitting party. As compensation, the submitting party will be granted a guaranteed submission slot at the following year’s IWAG Art Show.&lt;/p&gt;
&lt;h3 id=&quot;winning-payment-and-penalties&quot;&gt;Winning, Payment and Penalties&lt;/h3&gt;
&lt;p&gt;When the auction concludes, IWAG will notify winning attendees through relevant communication channels. It is the buyer’s responsibility to stay updated. IWAG assumes no responsibility that the attendee is aware of said notifications.&lt;/p&gt;
&lt;p&gt;IWAG will contact the winning attendees and include information of how payment can be made, and the payment deadline the winning attendee must honor. The payment deadline will be within the second day of the convention itself.&lt;/p&gt;
&lt;p&gt;If the winning attendee cannot be reached, the next highest bid will be contacted. Timing for honoring bids will be announced through relevant channels.&lt;/p&gt;
&lt;p&gt;Buyers who do not honor their purchase, intentionally ignore notifications, or fail to complete payment may be subject to the following penalties at IWAG’s discretion:&lt;/p&gt;

&lt;p&gt;&lt;strong&gt;If the standby queue is exhausted, the IWAG team will pull 10 more standby raffle entries on a livestream&lt;/strong&gt; and the process repeats until all 10 slots are secured.&lt;/p&gt;

own staff share rooms to free up space. But despite our best efforts, we are still a few rooms short.&lt;/p&gt;
&lt;p&gt;After careful consideration, we are offering two options for those affected:&lt;/p&gt;

&lt;li&gt;A full refund of your hotel reservation; or&lt;/li&gt;

January 4th, 2025. Now that everything is back on track and the Community website is running smoothly, we’d like to
share a behind-the-scenes look at what happened and how we resolved it.&lt;/p&gt;
&lt;p&gt;In this post, we’ll walk you through the steps we took to identify, fix, and stabilize the issues we faced. While we’ll
touch on some technical details, we’ll do our best to make everything easy to understand. Let’s dive in!&lt;/p&gt;
&lt;h2 id=&quot;what-happened&quot;&gt;What Happened?&lt;/h2&gt;
&lt;p&gt;To explain what went wrong, we first need to give you a quick overview of how the Community website works. There are
four key parts involved:&lt;/p&gt;

&lt;li&gt;&lt;strong&gt;Single Sign-On (SSO):&lt;/strong&gt; This service manages your account, including registering, logging in, and updating your
profile.&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Database (DB):&lt;/strong&gt; This stores all the essential information, like your profile, transaction history, and event pass
details.&lt;/li&gt;
&lt;/ol&gt;
&lt;p&gt;When you use the website (like clicking the “Register Now” button), your request goes through a system called a &lt;strong&gt;Load
Balancer (LB)&lt;/strong&gt;. Think of it as a traffic light that manages the flow of cars (your requests) to avoid jams. The Load
Balancer directs requests to different servers so that no single server gets overwhelmed. This keeps everything running
smoothly, even when there’s a lot of traffic.&lt;/p&gt;
&lt;h2 id=&quot;minute-by-minute&quot;&gt;Minute by Minute&lt;/h2&gt;
&lt;p&gt;Now that you have some context, let’s walk you through the events of that night, step by step:&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;19:45 (UTC+7):&lt;/strong&gt; The tech team set up a “War Room” to monitor the Event Pass registration process. Members joined in
person and remotely to keep a close eye on the servers.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;20:00 (UTC+7):&lt;/strong&gt; Users and staff began noticing issues: the website slowed significantly, showing “Internal Server
Error (500)” and “Bad Gateway (502)” messages. It became almost impossible to load the checkout pages and pay for
Event Passes.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;20:20 (UTC+7):&lt;/strong&gt; We identified the first major issue: &lt;strong&gt;database locking&lt;/strong&gt;. The database was handling transactions
one at a time in an overly strict mode, causing delays. A quick fix was applied to relax these rules.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;20:35 (UTC+7):&lt;/strong&gt; Despite the database fix, the 500 and 502 errors continued. Assuming heavy traffic was to blame, we
scaled up both the &lt;strong&gt;frontend (FE)&lt;/strong&gt; and &lt;strong&gt;backend (BE)&lt;/strong&gt; services to handle more users. At this point, we decided to
delay the Event Pass sales to 21:00 (UTC+7) to stabilize the system.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;20:50 (UTC+7):&lt;/strong&gt; With extra server power, the system seemed more stable, though the &lt;strong&gt;Load Balancer (LB)&lt;/strong&gt; was still
struggling. We prepared for the next sales window.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;21:00-21:40 (UTC+7):&lt;/strong&gt; As sales reopened, the 500 and 502 errors returned. The team scaled up the FE and BE services
again while analyzing logs for deeper issues. The sales window was delayed twice, first to 21:30 (UTC+7) and then to
22:00 (UTC+7).&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;21:55 (UTC+7):&lt;/strong&gt; The errors reappeared as traffic increased. This time, we decided to keep the registration open to
collect more logs, which would help pinpoint the problem.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;22:30 (UTC+7):&lt;/strong&gt; A spike in requests to the &lt;strong&gt;single sign-on (SSO)&lt;/strong&gt; service was identified. The system was being
overwhelmed by repeated requests for “refresh tokens” (used to keep users logged in). We considered bypassing this
process temporarily but instead chose to scale up the SSO provider to handle the load.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;23:30 (UTC+7):&lt;/strong&gt; Even after scaling up the SSO provider, the issue persisted. We concluded that the problem wasn’t
just capacity but also how requests were being routed. The team decided to split the &lt;strong&gt;Load Balancer (LB)&lt;/strong&gt; into two:
one for BE instances and another for the SSO provider.&lt;/p&gt;

&lt;p&gt;&lt;strong&gt;Database Fixes:&lt;/strong&gt; The transactions were made stricter after the incident of IWAG 2024, where Pearl passes were
oversold, in hopes to prevent the possibility of duplicate transactions on other events. We adjusted transaction
handling to be less strict to prevent the database from locking up.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Scaling Up Services:&lt;/strong&gt;&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;Increased the capacity of FE and BE instances to handle high demand.&lt;/li&gt;
&lt;li&gt;Boosted the SSO provider’s capacity to manage the surge in login-related requests.&lt;/li&gt;
&lt;/ul&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Load Balancer Adjustments:&lt;/strong&gt; Separated the Load Balancer for BE and SSO services to manage traffic more
efficiently.&lt;/p&gt;

&lt;p&gt;&lt;strong&gt;Session Management:&lt;/strong&gt; Logged out all users as a safety measure to ease the load on the SSO service.&lt;/p&gt;

users. If you’ve ever clicked “Sign in with Google” on a website, you’ve used OAuth 2.0! It ensures users can log in
securely without needing to re-enter credentials for every service.&lt;/p&gt;
&lt;p&gt;Here’s a simplified explanation of how it works when you log into the Community website:&lt;/p&gt;

&lt;li&gt;&lt;strong&gt;Access Token:&lt;/strong&gt; Used to prove you’re logged in for specific actions (e.g., registering for an Event Pass).&lt;/li&gt;
&lt;li&gt;&lt;strong&gt;Refresh Token:&lt;/strong&gt; Used to get a new Access Token without needing to log in again.&lt;/li&gt;
&lt;/ul&gt;
&lt;/li&gt;
&lt;/ol&gt;
&lt;p&gt;These tokens are really just a bunch of random numbers and character generated by the machines. With these tokens,
you’re officially logged in and can perform actions on the website.&lt;/p&gt;
&lt;p&gt;Access Tokens expire after some time for security reasons. Here’s how the system keeps your session active without
asking you to log in again:&lt;/p&gt;
&lt;ol&gt;
&lt;li&gt;When the Access Token expires, the FE sends the Refresh Token to the SSO Provider to request a new Access Token.&lt;/li&gt;
&lt;li&gt;The SSO Provider sends back both a new Access Token and a new Refresh Token.&lt;/li&gt;
&lt;li&gt;This process happens in the background, so you remain logged in seamlessly.&lt;/li&gt;
&lt;/ol&gt;
&lt;h2 id=&quot;what-went-wrong&quot;&gt;What Went Wrong&lt;/h2&gt;
&lt;p&gt;The issues stemmed from the &lt;strong&gt;Refresh Token flow&lt;/strong&gt;, which is designed to keep users logged in. Here’s what went wrong:&lt;/p&gt;
&lt;ol&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;SSO Overload:&lt;/strong&gt;&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;The SSO server was overwhelmed by a sudden surge in requests, primarily from users loading and refreshing the Event
and checkout pages.&lt;/li&gt;
&lt;li&gt;It couldn’t handle all the requests and stopped responding properly.&lt;/li&gt;
&lt;/ul&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Automatic Retrying:&lt;/strong&gt;&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;When the FE didn’t receive a response from the SSO, it retried the request automatically.&lt;/li&gt;
&lt;li&gt;This created a vicious cycle where failed requests kept adding more load to the already struggling SSO.&lt;/li&gt;
&lt;/ul&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Token Invalidation:&lt;/strong&gt;&lt;/p&gt;
&lt;ul&gt;
&lt;li&gt;The SSO Provider started invalidating Refresh Tokens prematurely, which added another layer of issues.&lt;/li&gt;
&lt;li&gt;The FE unknowingly sent invalid Refresh Tokens in its retries, worsening the loop.&lt;/li&gt;
&lt;/ul&gt;
&lt;/li&gt;
&lt;/ol&gt;
&lt;h2 id=&quot;what-we-learned&quot;&gt;What We Learned&lt;/h2&gt;
&lt;p&gt;Here are the key takeaways to prevent such issues in the future:&lt;/p&gt;
&lt;ol&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Prioritize Scalability&lt;/strong&gt;: Scaling up our systems were done manually, which can be overwhelming on a platform with
highly-variable demand like Community. Investing in better infrastructure could help with easier scaling.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Improve Load Testing&lt;/strong&gt;: While we have done some form of load testing before important events, there are parts where
our load testing process could be improved to better replicate actual page load.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Longer-Lived Tokens&lt;/strong&gt;: The access tokens were short-lived due to the immediate nature of our transactions. In our
case, a little more leeway to when sessions expire will help reduce the load on our SSO provider.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Isolate High-Demand Services&lt;/strong&gt;: Decoupling the Load Balancer for BE and SSO services ensured they didn’t compete
for resources under high load, preventing cascading issues should one critical service fail.&lt;/p&gt;
&lt;/li&gt;
&lt;li&gt;
&lt;p&gt;&lt;strong&gt;Enhance Logging and Monitoring&lt;/strong&gt;: We managed to catch our issues through request logs. Opening up access to our
logging and monitoring tools to the rest of the tech team could help in early issue detection.&lt;/p&gt;
&lt;/li&gt;
&lt;/ol&gt;
